10 matter management tools and templates for small law firms

Small firms usually choose between three kinds of matter management tool: cloud practice management platforms (Clio Manage, MyCase, Actionstep, CosmoLex, Smokeball), Microsoft 365 based systems, and Notion templates (including MatterOS, which we make). Platforms bundle billing and trust accounting; templates are cheaper and more flexible but need more setup.

What kinds of matter management tool exist for small firms?

Matter management tools record each case as one object and connect its people, deadlines, tasks, documents and time. For a small firm they come in three families, and the right family matters more than the right brand.

The sections below describe each option using what its own listing or vendor page says. Most search results for this topic are vendor material, so treat feature claims as claims and verify them in a trial.

Which platforms handle billing and trust accounting?

These products are built to be the system of record for the whole firm. If you need invoicing, online payments and client trust accounting in one place, start here.

1. Clio Manage

Clio describes Clio Manage as cloud-based practice management covering case management, document management, billing, contacts, calendaring, task management and time and expense tracking. Its own page says it offers a client portal and two-way texting. A third-party review put plans from about $49 per user per month; that is a secondhand figure, so check Clio's pricing page.

2. MyCase

MyCase markets practice management for small firms with case management, client communication, calendaring, document storage and billing. Reviewers single out the client portal; some also report that email integration needs manual matching and that customisation is limited. Reviews disagree on price, so confirm on its site.

3. Actionstep

Actionstep's vendor page emphasises customisable matter types and workflows, with automated actions at each step, such as sending an email when an intake form is completed. That suits firms with repeatable, process-heavy matters.

4. CosmoLex

CosmoLex is described in its own flyer as bundling matter management with firm accounting, matter templates, automated calendaring and workflows, and trust accounting. The flyer says it is the Canadian Bar Association's practice management software of choice for members.

5. Smokeball

Smokeball presents itself as an all-in-one platform and advertises automatic time tracking and ISO 27001 certification on its comparison page. Our own comparison guidance is in the Smokeball alternatives page.

What about Microsoft 365 and Notion-based options?

6. Matter365

A Capterra listing describes Matter365 as built on Microsoft Office 365, adding law firm features such as time tracking, project management, simplified invoicing and trust management. It is relevant if your firm already lives in Microsoft 365.

7. Law & Notion: Legal Case Management System

The creator's Gumroad listing describes a Notion template tracking deadlines, documents, cases, clients, contacts and billable hours. At the time we searched it was listed at $249 with lifetime access; check the current price.

8. Legal Case Management by Keiji Ito

The listing describes databases for cases, contacts, staff, appointments, billable items and documents, and notes that chart views need a paid Notion plan beyond a single chart.

9. Notion Template for Case Management

A further Gumroad listing with this title exists. We have not reviewed its contents beyond the listing; open it and check what databases it includes before buying.

10. MatterOS (we make this)

Disclosure: MatterOS is our product. It is a Notion template built on the Matter Method, with six connected databases (Matters, Actions, Time, Team, Evidence, Research), a practice dashboard, a playbook, a setup video and an AI prompt pack, for a single $99 payment with lifetime updates. It does not do invoicing or trust accounting, and it is only as secure as your Notion workspace. It suits firms that want to own their structure and pair it with separate accounting.

How do you choose between a platform and a template?

Work through these questions in order. The first 'yes' usually decides the family.

QuestionIf yes, lean toward
Must invoices, online payments and trust accounting live in the same tool?A platform
Do you have staff who need per-person permissions and an audit history?A platform, or Notion on a team plan
Do you want to change fields, stages and views without asking a vendor?A template
Is per-user monthly cost the main objection?A template
Do you already use Notion daily?A template
Do you want to be live this week with no configuration?A platform

It is also legitimate to combine them: a template for matters, actions and knowledge, and separate accounting software for money. Several of our own comparisons cover this directly.

What should any matter management tool be able to do?

Ignore the feature grid and test five capabilities during any trial:

  1. One record per matter showing status, people, key dates and everything linked to it.
  2. Tasks with an owner, due date and matter, separated from court or statutory deadlines.
  3. Documents classified and linked to the matter, not just stored in a folder.
  4. Time linked to the matter so you can see where effort goes.
  5. A view that shows what is due this week across all matters.

If a tool does these five well, you can live with gaps elsewhere. If it fails one, no integration list will compensate. The definition behind this test is in our guide to what matter management is.

Where does MatterOS fit?

MatterOS fits a solo or small firm that already works in Notion, wants one connected record per matter, and does not want another per-user subscription. It is not the right choice if you need built-in invoicing and trust accounting, in which case a platform above is the better fit, possibly alongside MatterOS later.

Frequently asked questions

What is the best matter management software for a solo lawyer?
There is no single best. If you need billing and trust accounting in one product, shortlist cloud platforms such as Clio Manage, MyCase or CosmoLex and trial two. If you prefer low cost and flexibility, a Notion template paired with separate accounting software can work.
Is a Notion template enough to replace practice management software?
It can replace the matter, task, document and knowledge side. It does not replace invoicing, online payments or trust accounting, so most firms pair it with accounting software. Whether that is enough depends on your staff size, billing model and local record-keeping rules.
How much does matter management software cost?
Prices vary by vendor and plan and change often. Per-user monthly subscriptions are common for platforms, while Notion templates are typically a one-off purchase. Sources disagree even on single products, so check each vendor's pricing page and count the number of users you need.
Do I need matter management software at all?
You need a matter management system, but not necessarily software sold as such. What matters is one record per case that links deadlines, tasks, documents and time. A well-built spreadsheet or Notion workspace can do that for a very small practice.
What is the difference between matter management and case management?
In practice the terms overlap. Case management is more common in litigation and personal-injury work, while matter management covers any kind of legal work, including advisory and transactional matters that never become a case.
