Matter management

How to build a matter management system in Notion

A matter management system in Notion has six linked databases (Matters, Actions, Time, Team, Evidence and Research), with the Matters database at the centre. A matter page template shows each matter's summary, deadlines, open actions, time, documents and research; saved views give each lawyer and the practice the slice they need.

Which databases does the system need?

DatabaseFixesIn practice
MatterCase knowledge scattered across email, folders, memory and people.Matters hub: one page per case with status, parties, key dates and every linked record.
ActionsCourt deadlines tracked in the same list as personal errands.Actions database: deadlines, owners, urgency type and “consequence if missed”.
TimeTime reconstructed from memory at month-end.Time log: entries linked to matters, with practice-level views.
TeamDelegation lives in conversations; knowledge walks out the door.Team layer: roles, responsibilities and handover notes on every matter.
EvidenceFinding a document depends on remembering where it was saved.Evidence register: classification, tags and review status per document.
ResearchThe same legal question answered from scratch, again and again.Research library: notes linked to matters, cross-referenced by practice area.

Step 1: how do you build the Matters database?

  1. 1

    Create Matters

A table with name, reference, client, practice area, stage, status, responsible lawyer and key date.

  2. 2

    Add the summary fields

Objective and current position, so the top of every page answers 'where are we?'

  3. 3

    Create a matter template

Headings for summary, parties, key dates, plus linked views of Actions, Time, Evidence and Research filtered to this matter.

  4. 4

    Save practice views

Active by stage (board), by key date (table), mine (filtered to me).

Step 2: how do you add Actions with consequences?

Actions are commitments tied to legal outcomes. Each has an owner, a deadline, a matter and an urgency type: a court deadline is not the same as an internal reminder. Add a 'consequence if missed' property; it forces honest prioritisation and makes the riskiest items rise to the top.

Step 3: how do you connect Time and Team?

Log time against matters with date, person and duration, and roll it up on each matter. Record the team on each matter (responsible lawyer, supervisor, support) and keep handover notes on the matter page, so work can move between people without a meeting.

Step 4: how do you add Evidence and Research?

Evidence is a register of documents and material on each matter: classification, tags, source, review status and a link to the file. Research holds notes and precedents linked to matters and tagged by practice area, so one matter's learning becomes the next one's head start.

Step 5: what goes on the practice dashboard?

  • Deadlines and actions due in the next seven days.
  • Overdue actions, by owner.
  • Active matters by stage.
  • Unbilled time by matter.
  • Matters with no next action (the silent risk).

Is there a faster way?

Building all six databases, relations, templates and views from scratch takes days. MatterOS provides the full Matter Method workspace, practice dashboard, playbook, setup walkthrough and AI prompt pack for $99, one payment. You can start with just Matters and Actions and grow from there.

What does a finished matter page look like?

A well-built matter page reads top to bottom like a briefing note:

  1. Header properties: reference, client, practice area, stage, responsible lawyer, key date.
  2. Summary: objective, current position and next step in plain English.
  3. Upcoming deadlines: a linked view of Actions filtered to legal deadlines for this matter, nearest first.
  4. Open actions: grouped by owner, with consequence if missed visible.
  5. Time: unbilled entries for this matter with a total.
  6. Evidence: key documents and anything not yet reviewed.
  7. Research: notes produced on this matter, and related notes from others.
  8. Team and handover: who does what, and what a new person needs to know.

What mistakes should you avoid when building it?

  • Building all six databases before using two. Run Matters and Actions for a week first.
  • Copying tasks onto matter pages as checklists instead of relating Actions; checklists cannot be filtered across matters.
  • Too many properties. If nobody filters or sorts by it, hide it or delete it.
  • Deleting relations to tidy up. Hide properties instead; dashboards depend on them.
  • No matter template, so every page is structured differently and nothing can be scanned.
