What problem does an evidence register solve?
The Matter Method's test for evidence is simple: do you know what you have, its status and what's missing? Without a register, finding a document depends on remembering where it was saved, and nobody knows which documents have been reviewed.
What should each evidence entry contain?
| Property | Example |
|---|---|
| Title | Email from supplier confirming delivery date |
| Matter | Relation |
| Type | Email, contract, witness statement, photo, expert report |
| Date and source | 12 March 2026, disclosed by defendant |
| Issues | Multi-select: delay, causation, quantum |
| Review status | Not reviewed, reviewed, key document |
| Privilege | Select, per your procedure |
| Link | To the file in your document system |
Which views help most?
- Chronology: all items sorted by date.
- By issue: grouped by the issue tag, for argument building.
- To review: not reviewed, oldest first.
- Key documents: marked as key, for bundles and briefing counsel.
- Missing: a separate list of documents you need and who holds them.
Where should the files live?
Keep evidence files in the document system your firm and rules require, and link from the register. Notion can store files within plan limits, but for evidence the priority is a single authoritative copy with version control and appropriate access.
Can AI help review evidence?
AI can help summarise documents and suggest issue tags, saving time on first-pass review. The Matter Method's rule applies: AI reads, you decide. Every classification that matters is confirmed by a lawyer, and confidentiality obligations govern what any AI tool may process.
How does an evidence register help on a real matter?
In a delay claim with 400 emails, the register makes three jobs fast. Preparing a witness statement: filter by the witness and the issue. Briefing counsel: filter to key documents and export the list. Spotting gaps: the Missing list shows the delivery notes the client has not yet sent, with who holds them and when they were chased.
What mistakes should you avoid?
- Uploading copies into Notion so there are two versions of every document.
- Free-text issue descriptions instead of consistent tags, which makes filtering useless.
- Not recording review status, so documents are read twice or not at all.
- Leaving privilege decisions undocumented.
- Building the register only when trial approaches instead of from the first document.
