What is the triage rule?
| If the email is... | Do this |
|---|---|
| A task for you | Create an action with owner, date and matter |
| Something to keep | Add a note or link on the matter |
| A document | Link it in Evidence, classified |
| A task for someone else | Create the action, assign it, mention them |
| Noise | Archive or delete |
A workflow you can run in ten minutes
- 1
Open the email
Decide within a few seconds which matter it belongs to.
- 2
Jump to the matter
Search with Cmd/Ctrl + K.
- 3
Capture the result
Add the action, note or link from the matter page.
- 4
Archive the email
Only after the record exists.
Where AI can help
You can paste an email into Notion AI and ask for suggested actions and a one-line note. Review it, correct names and dates and then save. Be cautious with privileged content; check Notion's terms and your rules.
Limits
Nothing here links to your mailbox automatically. Rules that move mail, if you use them, belong to your email provider. Treat any automation as an aid and keep the weekly sweep.
Why not automate it fully?
Automatic filing sounds attractive, but a wrongly filed email is worse than an unfiled one because everyone trusts the matter page. Triage is also where judgement happens: is this a deadline, a risk, or noise? Doing it by hand takes a few seconds per message and keeps a lawyer in the loop. If you later add automation, keep the manual weekly sweep as a safety net and restrict what any connection can read.
