# Team collaboration in Notion: working on matters together

Collaboration in MatterOS is Notion collaboration applied to a structured workspace: share pages with colleagues, assign actions with a person property, comment on a matter and mention people. The template supplies the structure; permissions, notifications and real-time editing are Notion features, and some depend on your plan.

## Key takeaways

- Share at the page or teamspace level; the template does not add its own login.
- Assign every action to a named person so notifications and filtered views work.
- Comments and mentions come from Notion and notify the person mentioned.
- Check your Notion plan for guest limits and permission levels.

## What does MatterOS add to Notion's collaboration?

Mostly shared habits built into the databases: an owner on every action, a responsible lawyer on every matter and a handover note. Those make the same Notion features far more useful, because a notification about a task is only helpful if the task has a person and a date.

## Which Notion features do the work?

| Need | Notion feature |
| --- | --- |
| Give a colleague access | Share a page or teamspace and choose a permission level |
| Ask a question on a matter | Comment on the page or a block |
| Get someone's attention | Mention them with @ |
| See my work | A 'My actions' view filtered to the current user |
| See what changed | Page history, on plans that include it |

## A simple working pattern

1. Create a teamspace for the firm: Keep practice data out of personal workspaces.
2. Give each person a My actions view: Filter Actions by owner equals me.
3. Discuss on the matter, not in chat: Comment on the matter or action so the reasoning stays attached.
4. Hold a weekly review: Walk the dashboard together.

## Limits

MatterOS does not provide its own user accounts, role-based matter-level permissions beyond what Notion offers, or ethical-wall tooling. If you need strict conflict screening between colleagues, design your sharing carefully and check your rules.

## Collaboration habits that work

Tools do not create collaboration; agreed habits do. Decide where discussion happens (comments on the matter), how quickly questions are answered, and who updates the client-facing status. Keep decisions on the matter page so a colleague who joins later can read the reasoning. Review comments at the weekly meeting and resolve or convert them into actions with owners, otherwise questions sit unanswered inside pages nobody opens.

## FAQ

### Can several people edit at once?

Yes, that is Notion's standard behaviour.

### Can I restrict a colleague to certain matters?

You can restrict at page level in Notion; plan your structure before sharing.

### Does MatterOS have its own notifications?

No. Notion's notifications apply.

### Is it suitable for ethical walls?

Not by itself. Review your obligations and Notion's permission model.
