# The Team piece: roles and handover notes in Notion

Team is the fourth piece of the Matter Method. In MatterOS it is a layer of roles, responsibilities and handover notes attached to every matter, so delegation lives in the workspace and not in conversations. Its test is whether your team could carry every matter if you stepped away today.

## Key takeaways

- Every matter carries a responsible lawyer, supporting roles and a handover note.
- The template records who is responsible; it does not assign work by itself.
- Handover notes are written by people and are only as current as you keep them.
- It is not an HR, payroll or permissions system.

## What does the Team piece fix?

Delegation that lives in chats and calls means knowledge leaves with the person. The Team layer makes responsibility explicit: each matter states who leads, who supports and what the next person needs to know.

## What is on a matter?

| Field | Purpose |
| --- | --- |
| Responsible lawyer | One accountable person per matter |
| Supporting team | Paralegals, juniors, assistants |
| Handover note | Current position, risks, next three steps, where things are |
| Linked actions | Each action has an owner from the team |

## How to apply it

1. List the roles you actually have: Even a solo practitioner can list who covers when you are away.
2. Name a responsible lawyer on every matter: Filter for matters where the field is empty and fix them.
3. Write handover notes at stage changes: Not at the end; stale notes are worse than none.
4. Run the cover test: Ask someone to open one matter cold and tell you the next step.

## Limits

Notion access is controlled by sharing and workspace roles, not by the Team fields. Adding a name to a matter does not give that person access. See the collaboration page for how sharing works.

## A practical example

A solo lawyer who uses a part-time assistant and an occasional associate can still use the Team layer. Name yourself responsible lawyer, name the assistant for administrative actions and name the associate as cover. Write the handover note as if the cover lawyer must run the hearing next week: where the file is, what has been promised to the client, what the opponent is expected to do and which dates are fixed. Then ask the associate to read only that page and tell you what is unclear. The gaps they find are the gaps in your system.

## FAQ

### Does the Team piece manage permissions?

No. Permissions are Notion's sharing settings; the Team fields record responsibility.

### Can a solo lawyer use it?

Yes, to name a cover colleague and keep handover notes.

### Is it a staff or HR database?

No. It records matter roles, not employment details.

### How do I test it?

Ask a colleague to run one matter from the page alone.
