# Inbound email and legal matters: keeping email out of Notion's way

MatterOS cannot receive, send or sync email. The recommended routine is to keep the inbox as a transport layer: when an email changes a matter, log the decision, deadline or document in Notion against that matter. Email forwarding tools and Notion integrations exist, but they are not part of the template, so check them yourself.

## Key takeaways

- The template has no email address, no inbox and no sending function.
- One of the Matter Method doctrines is that the inbox is a transport layer, not a source of truth.
- Log what matters from an email as an Action, an Evidence row or a matter note.
- If you automate forwarding, test it and check where client data ends up.

## A manual routine that works

1. Triage the email: Decide whether it creates work, a deadline, a document or nothing.
2. Create the Action: If it asks for something, add an Action with owner, date and matter.
3. File the attachment: If it carries a document, add an Evidence row and link the matter.
4. Note the decision: Add a line on the matter page: date, what was agreed, with whom.
5. Archive the email: The email stays in your mail system; the matter holds the outcome.

## Options for automation, with caution

Some people connect email to Notion with forwarding rules, Notion's own tools or third-party automation services. What is available changes over time and depends on your email provider and Notion plan, so check the current documentation of each tool before relying on it.

- Test with non-client emails first.
- Know where the copy of the email is stored, and who can read it.
- Make sure forwarded mail lands in a database you control, with the matter relation filled in by a person.
- Do not auto-send anything to a client from an automation without a lawyer's review.

## Why not just search email?

Email tells you what was said, not what is currently true. A matter page shows status, next deadline and open actions at a glance. Our post on matter management explains why scattering case knowledge across inboxes causes handover failures.

## What this page does not promise

No email-to-Notion address, no calendar sync and no auto-filing are part of MatterOS. If a future version adds anything, it will be described on the pricing and product pages.
