# Document drop: filing documents into a matter in Notion

In MatterOS you file a document by adding a row to the Evidence register, linking it to its matter, and setting its classification and review status. A Notion form can collect submissions from colleagues or clients. The template does not automatically read, sort or store files by itself.

## Key takeaways

- Each document becomes an Evidence row linked to one matter, with classification, tags and review status.
- A Notion form feeding the Evidence database gives you a simple drop point.
- Nothing is filed automatically; a person or a rule you set up in Notion does the filing.
- Keep the originals in your approved storage if you do not want client files inside Notion.

## The filing routine

1. Create the Evidence row: Name the document the way you would search for it: date, type, short description.
2. Link the matter: Use the relation property so the document appears on the matter page.
3. Classify it: Choose the classification and add tags (for example pleading, correspondence, contract).
4. Set review status: Mark it unreviewed, so the Evidence view shows what still needs your eyes.
5. Attach or link the file: Upload to the row, or paste a link to the file in your document store.

## Adding a drop point with a form

Notion forms can write straight into a database. Point a form at the Evidence register with fields for matter, description, file and who sent it, and share the form link with the people who send you documents. Submissions arrive as unreviewed rows for you to classify.

A database template for the Evidence register can pre-fill status and checklists, so every new row starts consistently.

## What this is not

| Need | Where it comes from |
| --- | --- |
| Automatic sorting of files by matter | Not included. You link the matter yourself. |
| OCR or reading file contents | Not part of the template. Notion's own AI features may help; check current availability. |
| Secure client upload portal | Not included. Consider the access and sharing rules first. |
| Version control of documents | Use your document management system. |

Treat any form link as something that can be forwarded, and decide what documents you are happy to receive that way.

## Make it a habit

File on the day a document arrives, because a 30-second entry saves the later search. The wider approach is in our guide to evidence and document tracking.

## FAQ

### Does MatterOS have a document drop box?

Not as an app. You can build a drop point with a Notion form that feeds the Evidence register.

### Does it store documents?

Files you upload live in your Notion workspace. You can also store links to files kept elsewhere.

### Does it read or classify documents automatically?

No. You classify each row, optionally with AI help you control.

### Can clients upload through a form?

Technically yes. Review your confidentiality and sharing obligations first.
